Writing at Workplace

There are quite a number of different documents in the workplace, including agenda, minutes, proposals, reports, appraisal documents, resignation letters, etc. Each of these has its own format. However, there are some features which are common to all these types of writing. A formal register is suitable to all these documents. The following are some points to note when using the appropriate language in such types of writing.

A proposal is a written suggestion for a project, a plan, action or solutions for a problem. It should be written to the relevant person(s) who will make the decision of whether to implement the proposal or not. There is only one purpose of writing a proposal, which is to seek the approval of the person(s) making the decision to allow you to carry out your suggestion. Therefore, a well-written proposal is very important. If you can get your message across to the person(s) in a convincing manner, you will stand a high chance of obtaining the approval.

A report in the workplace is a document which gives important information about a business such as facts, analyses and research findings to help executives make decisions for the optimal operating conditions of the company or for the future development of the business. The essential information may also be written for the reference of the people within the same company.

Resignation is the action of informing your employer that you are going to stop working in the company in which you are employed. The purpose of writing a resignation letter is to tell the employer when you will be leaving your job. The reason for your resignation is optional. However, it is better to leave goodwill even though you are not working with your current company anymore.

An agenda is a list of items which will be discussed in a meeting. The items will follow a certain sequence decided by the Chairperson of the meeting and must be clearly numbered. An agenda enables the members of the meeting to familiarize with what will be discussed in the meeting in order to allow them enough time to consider important issues they would like to raise about those topics during the meeting. Moreover, the members will know the approximate length of the meeting for their reference. An agenda will also help in keeping the meeting on track. Another purpose is to ensure that essential items will not be missed.

An appraisal is an evaluation of an employee’s performance in his/her job. Companies, organizations and institutions use this to judge a worker’s performance in order to decide whether to continue employing him/her, to promote the staff or not and also to allow opportunities for improvement in those areas where an employee is not fulfilling his/her duties in a very satisfactory way.
